An extra pair of hands for your office.
We set up a friendly AI assistant that knows your jobs, your files and your crew's updates. Less digging and chasing. More time on the work that pays.
- Set up by a real person
- Trained on your own files
- Crews just keep texting
The office work that eats your week
None of it is hard. It just never stops, and it always lands on the same two or three people.
“Where's the latest spec for the Halsted kitchen?”
The same questions, ten times a day. The answer is in a PDF, an email or someone's head, and finding it takes longer than it should.
“I sent a photo of that on Tuesday.”
Crew updates live in a dozen text threads. Photos, voice notes and “FYI” messages never make it into the job file.
“We went with someone who called back.”
New leads come in while you're on site. By the time you reply that evening, they've booked with someone else.
One helper that knows your business
Your assistant learns from your own files and works where your team already works. No new app for the crew.
Answers from your own files
Ask about permits, specs, change-order rules or supplier lead times. You get a plain answer and the document it came from, so you can check it.
“What's our change-order rule over $2,000?” → the answer, plus a link to page 4 of your contract template.
Crew texts become site logs
Crews send texts, voice notes and photos by SMS or WhatsApp like they do now. The assistant turns them into tidy site-log entries that a PM approves.
“Drywall done on 2nd floor, pic attached” → a site-log entry with the photo, waiting for your PM's OK.
Quick, friendly replies to new leads
New enquiries get a helpful reply in minutes, day or night, with the details you'd want to know before a site visit.
Consultations booked for you
When a lead is ready, the assistant offers open times from your calendar and books the consultation. You just show up.
Simple to start. Looked after for good.
You don't need to be “techy”. We do the setup, and a real person checks the work while it learns.
We learn your files
You pick the documents that matter: contracts, specs, permits, price lists, how-you-do-things notes. We load only those.
Week 1We set it up
We connect the text line, your calendar and the lead form, and show your team how to use it in one short session.
Week 1–2Two weeks of tuning
A human stays in the loop. We read along, fix wrong answers and adjust the tone until it sounds like your office.
Weeks 2–4Ongoing support
We keep your files up to date, check in every month and fix anything that comes up. You always have someone to call.
Every month
See it working for a sample firm
The live demo shows the assistant for Ferrowind Design-Build, a made-up firm in Ravenswood with eight sample projects. Click around. Nothing you do there is real.
- Ask about a permit and open the source document.
- Book a pretend consultation.
- Send a site photo and approve the log entry.
Clear prices, no surprises
A one-time setup, then a flat monthly fee for hosting, updates and support. Final price depends on how many jobs, crews and files you have.

Fair questions, straight answers
Don't see yours? Ask it on a 15-minute call.
Is my data private?
Yes. You choose which files go in, and the assistant only uses those. Your files stay in a space set up just for your firm, they aren't used to train public AI models, and we'll remove them whenever you ask. Before anything is loaded, we'll show you where they're stored and who can see them.
Does it work with Procore or Buildertrend?
It works alongside them, not instead of them. We can load documents and exports from the tools you already use. A direct link to one system is part of Pro, where that tool allows it. Tell us what you use and we'll give you an honest answer on the call.
Will my crew actually use it?
That's the idea behind the design. Crews don't install anything or learn a new app. They keep sending texts, photos and voice notes the way they do now, just to one number.
What if it gets something wrong?
It will sometimes, so we built it to be checked. Every answer shows the document it came from, site-log entries wait for a PM to approve them, and during the two-week tuning period a person reviews its answers and fixes mistakes. When it doesn't know, it says so.
Do I have to sign a long contract?
No. Start with the 30-day pilot if you like. After that, we ask for a three-month minimum so the assistant has time to settle in, then it's month to month.
Do I need to be good with computers?
No. If you can send a text, you can use it. We handle the setup, the updates and the fixes.
Hi, I'm Tara.
I founded Back Office Partner HQ to help small firms get their time back. You should be building, not hunting for files or chasing updates.
[add your story: a few sentences on why you started this and what you care about]
When you work with us, you work with me. I'll set things up with you, check in every month, and pick up when you call.
Let's talk for 15 minutes.
Tell me how your office runs today. I'll show you the demo, and we'll see together whether it's worth it for you. No pressure, no hard sell.
